Facilities Use Policy
While
the primary purpose of the meeting rooms is to provide space for library
activities, when meeting rooms are not needed for library activities the
Acton Memorial Library welcomes their use for civic, cultural and educational
activities of a non-profit, non-commercial nature. Such use shall not
interfere with normal library activities, and those who use the meeting
rooms are expected to behave in a manner that acknowledges the rights
of others to undisturbed library usage. All events held in the meeting
rooms must be open to the public, including Library staff, and no admission
fees may be charged. Such permission is revocable, and does not imply
Library endorsement of the aims, policies, or activities of any group
or organization.
To be considered non-profit and non-commercial an event must not be intended
to result in either direct sale of services or goods, or promotion that
would be reasonably expected to result in their sale. For example, programs
on investment counseling, estate planning, insurance, etc., are acceptable
provided that they are primarily informational in nature and one or more
competing suppliers of similar services or goods are included in the program.
Notwithstanding the above, individual artists and authors may indicate
that their works are for sale and may display the prices of such works.
Authority for the scheduled use of the facility lies with the Board of
Trustees who may delegate that authority to the Library Director. Appeals
may be made to the Board of Trustees who reserve the right to deny or
restrict usage of the library. Reservations for individual events must
be made in writing on a form, which will be available at the Circulation
Desk. Requests will be considered on a first come, first served basis.
Requests to reserve space for periods on more than two days of any two
consecutive weeks shall be granted only upon approval by the Trustees.
A poster, describing the event, naming the sponsors and inviting the public
to attend, shall be submitted for posting in the library at least three
days prior to the event. Such poster shall not exceed 11" x 17"
and its placement shall be determined by the Library Director.
Any special arrangements will be the sole responsibility of the person
or group in whose name the reservation is made. Events extending beyond
the normal library operating hours may be charged a custodial fee at the
current hourly rate.
Prohibited activities include: smoking; consumption of food or drink (unless
special permission is granted); intrusion into any non-public areas not
otherwise reserved in advance; defacing of property; and any fundraising
activities (except those which have received prior approval of the Board
of Trustees). The Library will not be available for private functions
such as birthday parties, family events or celebrations, dinners, etc.
The interpretation of this policy shall be at the sole discretion of the
Board of Trustees for of the Acton Memorial Library, who reserve the right
to amend this policy from time to time.
